Assign Tasks to Your Team

Give one task to whole roles or to chosen people, let each person complete their own copy, and see who has done it, on the web and in the staff app.

Tasks are the jobs you hand your team: restock the retail shelf, clean the color bar every Friday, finish the new product training. Each task belongs to one person, who marks it done, so nothing gets lost between shifts.

Your own tasksCopy a link to this section

Everyone finds their tasks in My Tasks: in the account menu under the avatar at the top right on the web, and in the staff app's Profile tab. Tasks are grouped by when they are due, overdue ones first. Tap or click Mark Complete when you finish one; Reopen puts it back. A task that came from a team task says so.

Anyone with Manage Employee Tasks, which owners and managers have from the start, can give one task to many people at once.

  1. Open Business Settings → Team Tasks in the left menu on the web, or in the staff app's More tab. You can also open My Tasks and switch to the Team Tasks tab.

  2. Choose New Task.

  3. Give it a Task Title, Instructions and a Due Date. To repeat it, pick Daily, Weekdays or Weekly under Repeat, and optionally a Repeat Until date.

  4. Under Assign To, choose:

    • Everyone In These Roles: Owners, Managers, Cashiers and your stylists (named the way your business names them).
    • People: search the team and add anyone by name, on top of the roles or on their own.

Reaches N people counts who will get it before you save.

  5. Save it.

Everyone it reaches gets their own copy. Each person completes theirs on their own, so one person finishing does not tick it off for everyone else. A repeating task gives each person their own schedule.

Roles are read when you create the task: someone who joins one of those roles later does not get it. Create a new task for them, or add them by name next time.

Team Tasks lists every team task with {done} of {total} done and a progress bar for its current occurrence. Open one to see each person, their roles, and whether they have completed their copy and when, so you know who to follow up with. Someone who has left the team drops out of the count.

Change or cancel a team taskCopy a link to this section

Open the task and choose Edit to change its title or instructions. Changes reach everyone who has not finished it yet; completed copies keep what they were done with. A one-off task can change its due date too. A repeating task keeps its dates: cancel it and create a new one to change them.

Cancel Task asks you to confirm. Everyone who has not finished it no longer has it to do, and it stops repeating. Completed copies stay in each person's history.

Tasks for one personCopy a link to this section

To give a task to just one person, you can still do it from their profile: open the member editor and its Employee Tasks section. See Edit a Stylist and Their Preferences.

Good to knowCopy a link to this section

  • Workflows can create tasks too, one per selected employee, with Track In My Tasks turned on.
  • Kiosk and slideshow screens, clients and the client apps never see tasks.
