Attendance and the Shift List

Clocking in, the daily prompt, who is on the shift list, and the settings that pull people off it automatically.

Two related things, often confused: attendance is a record of who worked; the shift list is who is available to take work right now.

Attendance

Members mark attendance for the day. Auto-Open Attendance Prompt (Features Configuration → Member Management Settings) shows the prompt the first time someone opens the business each day, before they have marked it.

Turn it on. Attendance data that depends on people remembering to go and find a button is not data.

Attendance in the left navigation shows the record. It answers who was in, when, and for how long — which matters for payroll, for disputes, and for working out whether your quiet days are demand or staffing.

The shift list

The shift list is who can receive walk-ins. It is derived from who is working and who is available, and Perceny prunes it automatically.

Four Ticket Settings, in two pairs:

  • Hide from shift before appointment + Minutes before appointment to hide from shift — someone with an appointment starting soon stops receiving walk-ins.
  • Hide from shift after unchecked-out appointment + Minutes after end time to hide from shift — someone with an overdue appointment that was never checked out, or an unserved waitlist entry, stops receiving them too.

Both exist for the same reason: putting a walk-in with someone who is about to disappear for an hour is how a queue quietly breaks.

Each of these also exists as a personal preference, so one person can be treated differently.

GPS

On Elite plans, Mark Absent With GPS marks someone absent and blocks them from creating tickets when they are further than Absence distance in meters from the shop.

This is a blunt tool. It misfires in buildings with poor GPS, and it stops someone working rather than merely flagging it. Set the distance generously, and tell your team before you turn it on.

Where attendance shows up

  • The Attendance list.
  • Staff Performance and Chair Utilization, which are much more meaningful once you know who was actually there.
  • Peak Hours, which is only a staffing tool if you can compare demand to presence.
