Set Hours, Exceptions and Blocked Time

Business hours, per-stylist hours, one-off exceptions, and how they combine to decide what a client can book.

Availability in Perceny is a stack. Each layer narrows the one below it.

  1. Business hours — when the shop is open.
  2. Stylist hours — when that person works, inside the shop's hours.
  3. Service hours — when a specific service can be booked, if it is narrower than the stylist.
  4. Exceptions at any of those levels — one-off changes for a specific date.
  5. Appointments, walk-ins and blocked time — what is already taken.

A client sees what survives all five.

Business hours

Business Settings → Work Hours. Set each day: open, closed, or open 24 hours.

Exceptions

Exceptions are for specific dates: a public holiday, a late start, an early close, a full closure. They override the weekly pattern for that date only.

Add exceptions rather than editing the week. The week is your normal; the exception is the exception. Editing the week for a single Tuesday means someone has to remember to change it back.

Stylist hours

Each member has their own week and their own exceptions, under Preferences → Hours Available and Hours Exceptions.

If a stylist works the shop's hours, use Default to business schedule to copy them across rather than retyping. That button exists on both the weekly hours and the exceptions.

Depending on your setup, a member changing their own hours either applies immediately or becomes a request for a manager to approve. When it becomes a request, Perceny tells the member explicitly — their calendar has not moved yet.

Blocked time

Blocked time is created on the calendar, not in settings. Use it for lunch, admin, training, or an appointment that exists outside Perceny.

Two Appointment Settings change how blocked time affects the grid:

  • Restart Time Slots After Blocked Time — bookable times resume from when the block ends, rather than staying aligned to the opening time. Without it, a block ending at 10:40 on a 15-minute grid offers 10:45 and wastes five minutes.
  • Restart Time Slots After Any Booking — extends that to regular appointments and walk-ins too.

Gaps

Fill Schedule Gaps finds short holes between bookings and offers them as extra slots. Prefer Aligned Gap Slots decides whether those extra slots line up with your normal increments (tidier) or start at the earliest possible moment (fuller).

Why a slot is not offered

Work down the stack:

  1. Is the shop open that day? Check business hours and exceptions.
  2. Is the stylist working? Check their hours and exceptions.
  3. Does the service have narrower hours of its own?
  4. Is Appointment Minimum Notice blocking it because it is too soon?
  5. Is Appointment Booking Days Limit blocking it because it is too far out?
  6. Is Appointment Daily Limit already reached for that stylist?
  7. Is there a buffer after the previous appointment?
  8. Is the gap simply too short for the service's duration?
