Appointment Settings, Switch by Switch

Every setting on the Appointment Settings tab: the calendar, the booking flow, deposits, auto-finish, and gap filling.

Features Configuration → Appointment Settings is the biggest tab in Perceny. It covers three different things: how the calendar behaves for staff, how the booking flow behaves for clients, and what happens to an appointment's ticket after the visit.

The tab opens with the Appointment permission category. Everything below is a business-wide default, and most of it can be overridden per member in their Preferences.

The calendar

Calendar Time Interval (Minutes) — how many minutes one row of the calendar represents: 5, 10, 15, 20, 30 or 60. Purely visual density.

Show Service Colors on the Calendar — an appointment block leads with a stripe of its services' colours before the professional's own colour. Turning it off shows the professional's colour alone; the colours you set on each service are kept either way.

Drag for Change Stylist — lets staff reassign an appointment by dragging it onto another stylist's column.

Default Calendar Stylists — which stylists the calendar shows managers and owners before they filter anything:

  • Active Stylists — whoever has appointments in view, falling back to whoever works that day.
  • Working and Booked Stylists — everyone working that day, plus anyone off who still has appointments.
  • All Stylists — the whole team.
  • Just Me — only the viewer.

Stylists always land on their own calendar regardless.

Default Calendar Stylists for Cashiers — the same choice, applied to cashiers.

Bookable times

Booking Time Slot Increments (Minutes) — the grid clients book on.

Use Service Duration as Booking Interval — slots follow the total duration of the services chosen rather than the fixed increment. Good for menus with wildly different service lengths.

Restart Time Slots After Blocked Time — after a blocked period ends, bookable start times resume from that end point instead of staying aligned to the opening time. Without it, a block that ends at 10:40 on a 15-minute grid leaves you offering 10:45.

Restart Time Slots After Any Booking — extends that to regular appointments and walk-ins, not just blocked time. Requires the setting above.

Appointment Minimum Notice (Minutes) — how close to now a client may book.

Appointment Buffer Time (Minutes) — padding held after each appointment.

Appointment Daily Limit — the maximum number of appointments one stylist can have in a day.

Appointment Booking Days Limit — how far in advance clients may book.

Fill Schedule Gaps — finds short gaps between booked appointments and offers them as extra slots to keep the day full.

Prefer Aligned Gap Slots — offers gap slots that line up with your normal increments. When off, it offers the earliest available gap time instead, which fills more but looks less tidy.

Show Join Waitlist Button — shows "Join the Waitlist" on the time-selection step when nothing is available.

The booking flow clients see

Hide Book Now Step — removes the opening step so clients drop straight into booking.

Choose Stylist Before Service — swaps the order of the first two steps.

Hide Stylists in Booking — hides the stylist step entirely, so every online booking goes through Any Available Stylist, like the kiosk walk-in.

Book Appointments to the Business — online bookings are held by the business rather than by Any Available Stylist: the stylist step is skipped, availability comes from the business schedule, and a stylist is assigned later, before checkout.

Customize Any Available Stylist (Online Bookings) — controls how the Any Available option is presented.

Randomize Booking Stylists — shuffles the order stylists appear in, so nobody is permanently first.

Show Least-Booked Stylists First — lists stylists from fewest to most bookings, spreading work more evenly.

Spread Any-Stylist Bookings Evenly — when a client picks Any Stylist, assigns to balance bookings across staff. When off, the pick is random.

Collapsible Service Categories — shows categories collapsed so clients expand only what they want. Worth it once your menu is long.

Booking Mobile Services Grid Columns and Booking Mobile Stylists Grid Columns — how many columns those two steps use on a phone.

Hide Booking Estimated Time — hides the service duration from clients.

Hide Price if Price Variable — hides the price when a service is priced variably rather than fixed.

Show Business Address on Booking — displays your address in the services section.

Display Booking Time Zone — shows the business time zone and lets clients view times in their own.

Collect Client Address — asks for an address during booking, for mobile or on-location services.

Pickup and Drop-Off Services — collects a pickup and a drop-off address, for transport-style services.

Required Client Fields (Booking) — which client details are mandatory to book.

Memberships Required to Book — restrict booking to holders of specific membership plans.

Booking PIN — a PIN clients must enter to book. Useful for a private or invite-only list.

Custom policy text — shown on the booking policy screen and included in appointment reminders. Press Enter for new lines.

Disable "How Did You Hear About Us?" Question — stops asking new clients how they found you, in both booking and the kiosk walk-in flow.

Enable Google Book Online Button (Google Reserve) — puts a Book Now button on your Google Business Profile. Google can take up to 24 hours to switch it on.

Tips at booking

Allow Tips During Booking — lets clients add a tip while booking, even when paying in person.

Hide Tips From Booking — removes the tip option from the online flow entirely.

Multi-Appointment Tip Distribution — how one tip is split when a client books several appointments at once.

Confirmation and changes

Require Stylist Confirmation — new appointments stay pending until the assigned stylist confirms.

Require Approval for Client Appointment Update — a client's reschedule waits for an owner or manager.

Require Approval for Client Appointment Cancellation — a client's cancellation waits for an owner or manager.

Restrict Client Updates After (minutes) — a cut-off past which clients can no longer change the booking themselves.

Cards, no-shows and repeat offenders

Require Card After No Show — a client must keep a card on file before booking again after a no-show.

Require Card After Cancellation — the same, after a cancellation inside your window.

Cancellation Window (Minutes) — how many minutes before the start time a cancellation counts as "late" for the rule above. Set 0 to require a card after every cancellation.

Closing the ticket automatically

This is the group most shops end up tuning.

Auto Finish Appointment Ticket — closes the appointment's ticket once the end time passes.

Appointment Ticket Auto Finish Delay (minutes) — how long to wait first.

Auto Finish Time Reference — whether that delay counts from the appointment's start time or its end time.

Thank-You Message Delay (minutes) — auto-finish can fire before the visit is really over, so the client "thank you" message is held until this many minutes after the appointment's end time. 0 sends it right at the end time.

Auto Finish Prepaid Appointments — closes prepaid tickets once the start time passes.

Prepaid Appointment Auto Finish Delay (minutes) and Prepaid Auto Finish Time Reference — the same two controls for prepaid appointments.

Keep Time Blocked After Checkout — a completed appointment keeps its slot reserved until you manually reopen it.

Send Finish Appointment Ticket Reminders — push-notifies stylists to close their appointment tickets. Reminders are skipped when auto-finish is on.

Disable Payment Type Selection from Booking — hides "How would you like to pay in person?" from clients, so no payment type is preset. Auto-finish still closes the ticket as cash, and manual checkout uses the cashier's default payment type.

Reviews

Request Review After Client Visits — asks for a review once a client reaches the number of visits you set.
