Take a Cash Payment and Give Change
Cash at checkout, the change calculator, where the money is recorded, and what changes when stylists keep their own cash.
At checkout
Choose Cash as the payment type and confirm. If Enable Cash Change Checkout is on (Features Configuration → Ticket Settings), a dialog opens: enter what the client handed you and Perceny shows the change to give back.
Small feature, and it prevents the two most common desk errors — wrong change, and change worked out while three people wait.
Where the money goes
That depends on one setting: Stylist Keep Cash on the Payment Settings tab.
Off (the default). Cash belongs to the business. It is recorded against the cash register, and the stylist's commission is paid out of the business balance as usual.
On. The stylist keeps the cash in their hand. Perceny records that they took it: the amount is deducted from their commission payout and recovered from their next card payment. Read Stylist Keeps Cash, explained before turning this on — it changes how balances read for everyone.
Three refinements sit under it:
- Keep Product Cash in Business — the product part of a cash payment stays in the drawer; only service cash goes to the stylist.
- Keep Membership Cash in Business — membership cash stays in the drawer.
- Add Stylist Keep Cash to Register — records the kept cash in the register for tracking. The stylist still keeps the money and still owes the same amount; this only makes it visible.
There is a matching Keep Invoice Cash in Business on the Invoice Settings tab.
What reaches the drawer
Features Configuration → Cash Register Settings decides which revenue is attributed to the register at all:
- Exclude Services from Cash Register
- Exclude Products from Cash Register
- Exclude Gift Cards from Cash Register
- Exclude Memberships from Cash Register
Gift cards and memberships are commonly excluded, because that money is a liability — you have been paid for something you have not delivered yet.
Cash tips
Pay Cash Tips Instantly pays cash tips straight to the stylist, so they never count toward the register total.
Pay Non-Cash Tips Instantly as Cash goes further: card tips are handed over in cash immediately and taken out of the drawer. Your drawer will then be short by exactly the tips you paid out. That is expected, not an error.
Closing the day
Cash only reconciles if the register was opened. See Open and close the cash register.
Common problems
"The drawer is short by exactly one ticket." Check whether that ticket was closed under Stylist Keeps Cash — the cash is with the stylist, and Perceny knows.
"The drawer is short by roughly a day of tips." Check the two instant-tip-payout settings above.
"Cash was taken but the ticket says unpaid." The ticket was probably never checked out. Search Tickets for open tickets on that day.
"It should have been a card." Fix a payment taken as cash.
