Tell Your Receptionist How Clients Book
Write, in your own words, how clients book with you, so the AI receptionist answers "how do I book?" the way you would, with your online booking link still given.
"How do I book?" is one of the questions clients ask the AI receptionist most, by text, chat, email and on the phone. Out of the box it answers from your settings: online, at your booking link, when you take online bookings; by calling your shop number; or by replying to the conversation, which a person on your team reads.
Your shop may book differently: walk-ins in the morning, a free consultation before a first colour, a deposit for long services. Write it once and the receptionist answers in your words.
Write how clients bookCopy a link to this section
- Open Automation & AI → AI Assistant and unfold Knowledge & Tasks.
- Under How Clients Book, write it the way you would tell a new client, for example: "Book online, give us a call, or stop by the front desk. New clients start with a free consultation."
- Save the settings.
From then on, a client who asks how to book hears your answer instead of the routes the receptionist reads off your settings. When you take online bookings, the receptionist still gives your booking link with it, so you do not have to type it out. By text message it names your website in words rather than pasting the link.
The box takes a short paragraph, up to 1,000 characters. A longer one is refused when you save.

Clear the box and save. The receptionist goes back to describing the ways to book from your settings.
What it does not changeCopy a link to this section
How Clients Book changes how the receptionist explains booking. It does not switch booking on or off: whether the receptionist can book a time itself is set under the capabilities in the same section, and the hours and services it offers come from your calendar and catalogue.
To change what the receptionist says when it picks up the phone, see Choose your receptionist's voice, which covers the Greeting.
In a location groupCopy a link to this section
When your locations share the AI Assistant settings through their location group, How Clients Book is shared with them too, so write it in words that hold for every location.
