Book, Reschedule and Cancel an Appointment

Creating an appointment from the calendar, moving it, changing the professional, and what happens when a client does not turn up.

Book from the calendar

  1. Open Appointments and pick the day.
  2. Tap the slot, or use the add button.
  3. Choose the client — or create one on the spot.
  4. Choose the service or services. The duration comes from the menu, including any per-stylist override.
  5. Confirm the stylist and the time.
  6. Save.

If the time you want is not offered, the availability stack is blocking it. Work down the list in Set hours, exceptions and blocked time.

Some roles can book regardless of availability — that is the "Allow Create Appointment Regardless of Availability" permission, and it is what lets a manager deliberately double-book.

Confirmation

With Require Stylist Confirmation on, a new appointment stays pending until the assigned stylist confirms it. Useful where stylists manage their own book; noise where the front desk owns the diary.

Reschedule

Open the appointment and choose Reschedule. Pick the new time. The client is notified.

On the calendar you can also drag an appointment to a new time, and — with Drag for Change Stylist on — drag it onto another stylist's column to reassign it. There is an explicit Change Professional action too, which is clearer when it matters.

When a client reschedules themselves, two settings decide what happens:

  • Require Approval for Client Appointment Update — the change waits for an owner or manager.
  • Restrict Client Updates After (minutes) — past this point they cannot change it themselves at all.

Cancel

Cancel from the appointment. If you have cancellation fees configured, Perceny will charge according to your rules — see Charge cancellation and no-show fees.

Require Approval for Client Appointment Cancellation routes client-initiated cancellations through a manager first.

No-show

Mark the appointment as a no-show rather than cancelling it. The two are different in your reports, and only one of them tells you something about the client.

A no-show can trigger:

  • The No-Show Fee, fixed or percentage, charged to the card attached to the booking — or to the client's default card if Charge Default Card on File for No-Shows is on.
  • Require Card After No Show, which forces that client to keep a card on file before they can book again.

Recurring appointments

A standing weekly or fortnightly appointment is a series rather than a pile of copies. Changing one occurrence and changing the series are separate actions — check which you are doing before you save, particularly when cancelling.

Waitlist for appointments

When nothing is available, Show Join Waitlist Button offers the client a place on the appointment waitlist. If a slot opens, they can be offered it. This is different from the walk-in waitlist, which is about today's queue.

Notifications

Booking, reschedule, cancellation, no-show and reminder messages are all in Features Configuration → Communications, per channel. If a client says they were never told, that is where to look — followed by whether the client record actually has the phone or email on it.
