Sync With Google Calendar

Push your Perceny appointments into Google Calendar and pull your personal commitments back as block time, so nobody books you during the school run.

Most stylists already live in one calendar, and it is not Perceny. Google Calendar sync makes the two agree, in both directions.

"Sync your appointments with Google Calendar automatically. Events from Google Calendar will be imported as block time appointments."

What it actually doesCopy a link to this section

Two flows, and it is worth being clear which is which:

Perceny → Google. Your appointments appear in your Google Calendar, titled "Appointment with {client}" (or just "Appointment" with no client) and located at "Appointment at {business}", with the client name, services and description in the event body.

Google → Perceny. Your Google events come back the other way as block time, and the note on the page is the important one: "Events from Google Calendar are imported as block time appointments and will show as unavailable time slots."

That second direction is the real prize. A dentist appointment in your personal calendar becomes unavailable time in Perceny, so online booking cannot sell it and a receptionist cannot book over it.

Turning it onCopy a link to this section

It lives in your own preferences — Work Settings → Google Calendar — not in business settings. Each person connects their own calendar.

  1. Connect Google Calendar"Connect your Google Calendar to automatically sync appointments and block time."
  2. Approve access on Google's consent screen.
  3. The panel flips to Connected / "Google Calendar sync is active".

On the app: Profile → Work Settings → Google Calendar, the same tab, native. On web it is the Google Calendar tab of your preferences.

If Google refusesCopy a link to this section

"Google did not grant offline access. Please connect again and approve access on the Google consent screen."

This is the common failure and it has a mundane cause: the consent screen was dismissed, or a checkbox was left unticked. Perceny needs offline access because it syncs when you are not sitting there with the page open. Run the connect flow again and approve everything.

Syncing on demandCopy a link to this section

Sync Now forces a pass instead of waiting. Use it when you have just added something to Google and want to see it blocked out immediately — for example when you are about to hand the booking screen to a receptionist.

DisconnectingCopy a link to this section

Disconnect, with a confirmation: "Are you sure you want to disconnect Google Calendar? This will stop automatic syncing of your appointments."

Do this before you leave a shop, or when you change the Google account you use. Blocks already imported stay as block time — they are ordinary appointments now — so tidy up anything you no longer want on your Perceny calendar.

Where synced appointments come fromCopy a link to this section

An appointment created by the sync is labelled with the source Google Calendar in Perceny, alongside the other sources (online booking, walk-in, kiosk, staff). That means reports can tell an imported block apart from a real booking, and you can too when you are looking at a day and wondering where an hour went.

Practical adviceCopy a link to this section

Use a calendar you actually maintain. Syncing an empty Google Calendar accomplishes nothing; syncing the one with your life in it is what stops double bookings.

Watch what you import. Every event becomes unavailable time. If your Google Calendar is full of all-day "birthday" entries and optional invitations you never declined, you will block out your own week. Either clean it up or use a dedicated calendar for the commitments that genuinely block work.

It is not a substitute for your schedule. Regular working hours and days off belong in Perceny's own hours and exceptions, which online booking, reminders and reports are all built around. Google sync is for the one-off things. See Set hours, exceptions and blocked time.

One person, one calendar. This is a personal preference per member, so each stylist connects their own. There is no business-wide Google calendar to point at, and that is the right design — your team's medical appointments are not shop data.

Who can turn it onCopy a link to this section

It is a membership preference, so whether staff may change it themselves is your call as a business — the same mechanism that governs every other personal preference. See Choose what staff can change about themselves.

Most shops leave this one open. There is no downside to a stylist blocking out their own unavailable time, and considerable downside to them not being able to.
