Work the Calendar on Your Phone

Day, week, month and agenda views, dragging an appointment to a new time, booking off schedule, and reading what the blocks and badges mean.

Beginner7 minMobile app

The Calendar tab is the app's home page for most people. It is a real calendar — you can drag appointments around — not a read-only list.

Choosing a viewCopy a link to this section

Four views, switched from the header: Day, Week, Month, Agenda.

  • Day — one column per stylist, the detail view you work from behind the chair.
  • Week — your own week at a glance. Good for spotting the hole on Thursday.
  • Month — density, not detail. For "when is my next free Saturday".
  • Agenda — a flat list of what is coming. The friendliest view on a small screen, and the one to use one-handed.

Today jumps back to now. A thin animated line marks the current time on Day and Week.

Filtering to the right peopleCopy a link to this section

Tap the stylist filter to pick who you see — or All {stylists}. If you filter down to nobody, the app tells you instead of showing an empty grid: "The calendar is filtered to nobody, so there is nothing to show. Pick who you want to see."

Find an appointment searches by client name: "Type a client's name to search." Faster than scrolling three weeks out to find where someone was moved to.

Reading the gridCopy a link to this section

  • Shaded, hatched bands are outside opening hours or outside that stylist's schedule.
  • Walk-in blocks look different from booked appointments on purpose — the walk-in queue and the calendar share the same day.
  • Badges on a block carry the state: deposit taken, request pending, collaboration, recurring, note attached. Tap a crowded block's badge cluster to open a sheet listing what each one means, rather than guessing at icons.
  • On a stylist's column header you may see a revenue badge for the day, subject to the same earnings permissions as everywhere else.

BookingCopy a link to this section

Tap an empty slot, or use New Appointment from the floating action.

  1. Client — search existing, or create one inline.
  2. Choose one or more services — the duration follows from your service menu, per stylist if you have overrides.
  3. Date & time — the picker groups options as Early Morning / Morning / Afternoon / Evening and shows "N times" available in each.
  4. Save.

A slot outside the schedule is labelled "outside opening hours", and Perceny warns without blocking: "This time is outside the schedule (9:00 AM – 6:00 PM). The appointment can still be created." — or, on a closed day, "The schedule is closed on this day."

Booking off scheduleCopy a link to this section

Book Off Schedule is the explicit version of that, and the description is the honest one: "Times outside the schedule. Use for squeeze-ins and favours — the {stylist} may already be busy."

Use it for the client you are doing a favour for. Do not use it as a habit — you are booking over the schedule that online booking and reminders rely on.

Moving an appointmentCopy a link to this section

Press and hold a block, then drag it. The grid highlights the target slot as you move; the all-day band at the top accepts drags too. Let go and the appointment moves, and the client gets the Appointment Rescheduled message if that template is on.

That last part is worth remembering: dragging is not a private edit. It texts a real person. See What your clients actually receive.

To change the stylist rather than the time, open the appointment and use Change {stylist} — that keeps the time and moves the work.

From appointment to ticketCopy a link to this section

Open an appointment and Check Out starts the ticket with the booked services already on it. That is the intended path: it keeps the appointment, the ticket and the commission attached to each other. See Ring someone up on your phone.

Other actions on the appointment sheet: reschedule, cancel ("This cancels the appointment for the client. Continue?"), mark ready, add a note, call or text the client, and open directions to their address.

Changing hours from the phoneCopy a link to this section

You can add an hours exception without opening the dashboard — a day off, a late start, a holiday. The app tells you the blast radius before you save: "N days affected", and "N days in this range already have exceptions and will be replaced."

Read that second warning. It is how a carefully-set Saturday gets overwritten by a range someone dragged too far. See Set hours, exceptions and blocked time.

If the grid will not drawCopy a link to this section

"The calendar could not be drawn — something went wrong drawing the calendar on this device. Everything else in the app still works — try again, switch the view, or reopen this tab."

Switch to Agenda and keep working; it does not use the same grid. Then report it with your version screen, per The app in five tabs.
