Client and Ticket Notes

Formula notes, allergy warnings and "do not book with" — where notes live, how prominently they show, and who can see them.

The information that keeps a client happy is rarely in a field. It is "9N with 20 vol, 35 minutes", "allergic to PPD", "always runs fifteen minutes late", "do not put her with Marco again".

Notes are where that goes, and Perceny lets you decide how loudly they announce themselves.

  • Client notes — travel with the person, visible wherever that client appears.
  • Ticket notes — about one visit: what was actually used, what went wrong, what to do differently next time.

Add one with Add Note, and manage the whole set with Manage Notes. An empty record shows "No notes yet."

Each note carries Content, a Priority, an author and a timestamp — so "who wrote this and when" is never a mystery, which is exactly what you need for a note that says something contentious.

When a client books online they get a note field: "Anything you'd like the business to know about this booking?" It arrives attached to the booking. Read them — that is where "I'm pregnant" and "I'm coming straight from the airport so I might be late" show up.

Business Settings → Features ConfigurationNote Display Settings: "Configure how notes are displayed throughout the application."

Enable Notes"Allow notes to be displayed on clients and tickets." Off, and notes are hidden everywhere.

Display Style"Choose how notes are visually presented." Five choices, and this is the setting that decides whether a note gets read:

If a note exists to prevent a chemical burn, do not leave it on Tooltip.

Max Notes to Show"Maximum number of notes to display before showing 'show more'." A ten-year client can accumulate thirty notes; showing three keeps the useful ones visible.

Auto Expand Notes"Automatically expand notes when there are many."

Display OptionsShow Priority, Show Timestamp, Show Author individually. Author and timestamp on is the honest default: an unattributed note about a client is a rumour.

There is a live Preview"Preview how notes will appear with current settings" — so you can see the difference between Banner and Badge before committing, and Reset to Defaults if you have made a mess.

PriorityCopy a link to this section

Priority drives ordering and emphasis. Use it sparingly — if every note is high priority, the styling that was meant to protect people stops meaning anything. In practice: high for safety and money, normal for everything else.

What to write, and what not toCopy a link to this section

Write things a colleague needs to do the work: formulas, timings, sensitivities, preferences, chair or room, how they like the conversation.

Do not write anything you would not want read aloud. Notes are visible to your team, they carry your name, and they show up in an audit trail. A note about a client's appearance, personality or finances is a liability, not a record. In some places written notes about a person are subject to data-protection rules, and "the front desk could see it" is not a defence.

The practical test: would you be comfortable if the client read it? If not, do not type it.

  • A note is internal. Clients never see it.
  • A message is a conversation with the client — see The two-way inbox.
  • An invoice has terms and a footer, which the client does see.
  • Booking notes come from the client and land on the appointment.

Keeping those straight prevents the worst version of this: an internal note written into a field the client can read.
