Run More Than One Location

How a second shop works in Perceny, what is shared and what is not, switching between them, and staff who work at both.

Intermediate6 minWeb & app

Perceny's model for a second location is simple, and knowing it up front saves you from expecting the wrong thing: each location is its own business.

Its own calendar, own service menu, own staff list, own tickets, own settings, own register, own payouts. You move between them with the business switcher rather than a location dropdown inside one shop.

Why it works that wayCopy a link to this section

Because almost nothing genuinely wants to be shared. Two shops in different neighbourhoods have different prices, different hours, different taxes, different staff, and different rules about who may discount what. A single business with a location filter would spend all its time asking "which location does this setting apply to" — for every setting, on every page.

Separate businesses answer that question once.

SwitchingCopy a link to this section

Web — the business switcher in the navigation. Every page is scoped to whichever is selected, and the URL carries the business, so a link you send a colleague opens the right shop.

App — the switcher sits above the screen title on Calendar, Earnings and Profile, plus Switch Business in the Profile menu. On first sign-in the app asks outright: "Choose where you are working today."

Signing out of the app clears the selection deliberately, so a shared iPad at one location does not open inside the other one for the next person.

What is sharedCopy a link to this section

Your user account. One login, one password, one email, one set of saved cards, one notification setup. You do not have two Perceny accounts. See Your own account and security.

Your Perceny subscription arrangements, depending on how your account is set up — talk to us before you open the second shop rather than after, because it affects billing.

What is not sharedCopy a link to this section

Nearly everything else, and each of these is a real task per location:

  • Service menu and prices — see Build your service menu
  • Staff list and invitations — see Add your team
  • Roles, permissions and role customization
  • Opening hours and exceptions
  • Features Configuration, top to bottom
  • Taxes, rooms, discounts, rewards, membership plans, gift cards
  • Cash register, card readers and printers
  • The bank account money is paid into
  • Messaging numbers, templates and credits
  • Reports and the audit log

Staff who work at bothCopy a link to this section

A person is invited to each business separately, and can hold different roles in each — a senior stylist downtown and a manager uptown. That is a feature: their permissions follow the shop they are working in.

Consequences worth planning for:

  • Commission is per business. Tiers, thresholds and pay periods do not pool across locations. Someone splitting their week across two shops climbs two separate ladders, which usually means they reach a lower rate in both. Decide how you want to handle that before they notice.
  • Attendance and shifts are per business. They clock in where they are working.
  • Their preferences are per business too — hours, notification settings, Google Calendar. The same person can be bookable online at one shop and not the other.

Reporting across locationsCopy a link to this section

Reports are per business, so a group total means running the same report in each and adding them up — or using the API if you want it automated. Every business can issue its own API token, and a token is scoped to its business. See Connect Perceny to another system.

If you manage several locations as an organisation rather than as a person switching back and forth, talk to us about how your account is structured. There is more we can do at the account level than at the shop level.

Setting the second one upCopy a link to this section

Do it in this order — it is the same order as the first shop, and the reason is that later steps depend on earlier ones:

  1. Create the business and fill in its information, hours and time zone.
  2. Bank account, so it can take card payments.
  3. Service menu and categories.
  4. Taxes and rooms.
  5. Invite the team and set roles.
  6. Features Configuration — do not assume the defaults match your other shop; they do not carry over.
  7. Card readers, printers, register.
  8. Messaging number.
  9. Online booking and website.

The shortcut, and its priceCopy a link to this section

Tempting: copy nothing, just clone the shop mentally and set up whatever you notice missing. What actually happens is that the second location runs for three months on default settings, discounts nobody meant to allow get given, and a permission you tightened at shop one is wide open at shop two.

Go through Features Configuration deliberately for each location. The settings search makes it a twenty-minute job rather than an afternoon: see Find any setting fast and Features Configuration: a tour.
